The Residency Coordinator coordinates the Family Medicine Residency Program and provides administrative and secretarial support to the Program Director, Practice Manager, and other faculty. The coordinator is an active member of a patient-centered team approach to patient and family care. The coordinator works collaboratively with all team members to achieve shared goals and consistently focus on quality care.

 

The Family Medicine practice has 83 ​staff members which include 17 faculty​ and 24 residents.
 
ACGME experience would be preferred
 
This is a team effort and this person will be working alongside the Residency Program Director and will help with any additional administrative functions. 
 

Responsibilities

A day in the life of a Residency Coordinator at Hackensack Meridian Health includes:

  • Coordinates the process of resident and physician recruitment. This includes scheduling interviews, mailing information, and coordinating the forms and information required on the interview day. Maintain the National Residency Matching Program and the Electonic Residency Application Service. Assists in the complex and tedious process of coordinating follow-up letters, visas, state registrations, permits, fingerprinting, and other legal requirements. Participates in recruitment strategies. Assists new residents in relocation and transportation as required
  • Provides administrative and secretarial support for the Program Director, Practice Manager, and the faculty.
  • Coordinates and oversees the evaluation process of residents. This includes the preparation and distribution of all forms and files. Tracks and reports resident attendance and advisor conferences. Maintains the Residency Management Software System, which includes
    portfolios and resident files
  • Oversees the planning and coordination of the Annual Residency Graduation Ceremony. This event requires ordering certificates, flowers, plaques, gifts, photography, music, and other related items. Send out all invitations and schedules for administrative and board member participation.
  • Coordinates and provides support to the Residency Education Advisory Committee. Assists in the coordination of the resident forum. Prepares, maintains, and assists with resident assignments, policy and procedures, and training of preceptors and affiliations.
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.

 

 

Qualifications

Knowledge, Education, and Skills Required:

  • A high school diploma or equivalent is required.
  • Secretarial courses are preferred.
  • Two to three years of secretarial experience, preferably in a healthcare setting, and two to three years of administrative assistant experience are preferred.
  • Demonstrates effective communication skills.
  • Demonstrated skill/proficiency in the utilization of software applications.
  • Types 50/70 words/min.
  • Medical Terminology preferred.
  • Demonstrates ability to operate independently using effective time management; goal-setting.


Knowledge, Education, and Skills Preferred:

  • An associate, bachelors, or equivalent of two years of experience in health care positions is preferred.
