The Scheduling Coordinator supports the essential operations and office communications within the department.

Responsibilities

A day in the life of a Scheduling Coordinator at Hackensack Meridian Health includes:

  • Schedules patients in person or over the phone for outpatient services.
  • Collects demographic data from patients for registration.
  • Prepares pre-registration chart
  • Insurance verification / authorization.
  • Records data on logs relating to insurance response turnaround times
  • Check patients in / out
  • Assist patients with medical history forms
  • Monitors work queues specific to the assigned tasks
  • Answers telephones
  • Processes all incoming / outgoing mail
  • Responsible for cash collection, reconciliation and deposit
  • Transcribing, scanning, uploading images
  • Maintains inventory of supplies to ensure adequate PAR levels
  • Submits IT tickets to report any system barriers
  • Appointment confirmation calls
  • Initiates follow-up on projects to ensure timely preparation and meeting deadlines
  • Ensures delivery of excellent customer service resulting in positive and improving patient satisfaction scores for department and Medical Center. Directs patients in regards to their scheduled appointment.
  • Assists leadership with tabulating monthly statistics for the Department.
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs. 
  • Previous registration, insurance verification, and receptionist experience.
  • Excellent written and verbal communication skills.
  • Proficient computer skills that may include but are not limited to Microsoft Office and/or Google Suite platforms.
