The Manager of Pediatric Ambulatory Services and Operations provides managerial assistance to Administration of the Children's Hospital and to the Administrative Director and Section Chiefs of the Children's Hospital(CH) Services assigned. This position assumes responsibility and accountability for systems function, staff performance and departmental operations.

Responsibilities

A day in the life of a Manager of Pediatric Ambulatory Services and Operations at Hackensack Meridian Health includes:

  • Assists the Admin Director and respective Section Chiefs in the management of operational, administrative, and fiscal aspects of assigned sections.
  • Manages the resolution of operational issues.
  • Manages and trains the support staff making changes in operational focus in response to changing departmental and institutional priorities.
  • Serves as a liaison with CH Administration and assigned Section Chiefs as well as designated HUMC/CH projects.
  • Coordinates with preparation for site visits and other reviews by public and private agencies.
  • CH MOC program maintenance of board certification for pediatricians- liaison to community physicians re: quality initiative projects required for board certification under Direction of Admin Director for Quality and Section Chief CH Quality/Safety
  • Serves as liaison with Hackensack University Medical Center Departments to assure that hospital policies and procedures are properly carried out.
  • Coordinates and monitors safety and physical plant items.
  • Performs leadership functions representing CH in Incident Command/Disaster Management
  • Serves as safety office for the Imus Pediatric Center.
  • Serves on hospital safety committee and brings back information for sectional and overall service.
  • Assists in preparing all grant applications.
  • Prepares budgets for all studies and receives appropriate approval prior to study implementation
  • Prepares and transmits employee requisitions, travel vouchers and other forms as may be required by the department.
  • Coordinates the information technologies all computer needs for the department.
  • Coordinates the publication of practice newsletters, brochures, patient information materials and other marketing efforts.
  • Coordinates all educational conferences by assigned section to include: identifying a site for the conference, negotiating contract with prospective hotel, soliciting educational grants, preparation and mailing of conference brochure, completion of CME application, maintain accurate records to comply with Continuing Education guidelines, oversee on-site registration and running of the conference.
  • Oversees preparation and submission of charge entry and all related CH section matters.
  • Reviews, authorizes, and monitors purchase requisitions
  • Attends section leadership meetings, CH leadership meetings and all others assigned.
  • Addresses patient complaints and serves as liaison with consumer affairs department.
  • Reconciles section budgets/accounts on a monthly basis for hospital requisitions including check requests, and purchase and supply requisitions.
  • Coordinates and implements department telecommunications systems
  • Oversees the completion of transcription, copying and mailing of all professional correspondence, including consultation letters, patient letters, research papers, physician correspondence and ancillary support requests.
  • Collaborates with Manager of Outpatient Registration and CH Business Managers in assuring efficient and effective flow of patient visits and reconciliation of financial and patient issues.
  • Serves as telecommunications coordinator for department including telephones, voicemail, modem lines, and answering services.
  • Adheres to the standards identified in the Medical Center's Organizational & Managerial Competencies.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • Bachelor's Degree.
  • Management/leadership experience.
  • Proficient in computer/Microsoft, spreadsheet software and graphics programs.

Education, Knowledge, Skills and Abilities Preferred:

  • Master's degree school graduate or equivalent.

Starting Minimum Rate

Starting at $95,555.20 Annually

Some jobs may also be eligible for performance-based incentives, bonuses, or commissions not reflected in the starting rate. Certain positions may also be eligible for shift differentials for work performed on evening, night, or weekend shifts.
