The Senior Payroll Analyst performs a wide variety of payroll processing activities to ensure the accuracy of the payroll for all employees as outlined below and also serves as a back-up to the Payroll Manager whether on a rotation basis or as needed. Possesses a strong working knowledge of payroll wage and hour laws and department operations to accurately communicate payroll wage and tax information, payroll procedures and payroll system functionality to all levels of employees. Maintains a thorough understanding of the entire payroll cycle and as necessary, independently runs the entire process without errors and in a timely manner; identifies potential errors and partners with IT to resolve; uses strong organizational skills to ensure all audits, payments and processing are done accurately and in timely manner in accordance with payroll processing checklist. Uses working knowledge to troubleshoot and resolve anomalies by partnering with IT when applicable.

Responsibilities

A day in the life of a Senior Payroll Analyst at Hackensack Meridian Health includes:

  • Coordinates the payroll cycle and ensures checklist is followed by all task owners as part of rotation and/or as back-up to the Payroll Manager.
  • Analyzes and performs accurate, complex computations of timecard adjustments, retro payments, overpayments, wire transfers, stop payments, physician payments, grant allocations, and other calculations as needed.
  • Successfully identifies, analyzes and resolves timecard errors.
  • Performs assigned audits per Payroll Manager and/or Payroll Processing Checklist.
  • Accurate data entry of voluntary deductions, payroll hours/earnings, and direct deposit/tax data as needed.
  • Runs interface files and performs vendor reconciliations as assigned.
  • Maintains a high degree of accuracy with minimal errors by proactively implementing measures to validate work.
  • Applies effective problem-solving skills to troubleshoot and resolve matters to the employee and/or manager's satisfaction.
  • Acquires and retains in-depth working knowledge of all payroll systems' functionality to independently research and resolve payroll issues, including all vendor systems and processes.
  • Acquires and retains working knowledge of PeopleSoft table structure to efficiently and accurately retrieve data to produce reports for ad-hoc requests and perform audits.
  • Demonstrates a thorough knowledge of key responsibilities, including all payroll procedures and policies and can articulate policies and procedures in a clear, concise and effective manner.
  • Demonstrates active listening skills to accurately interpret employee and/or management inquiries.
  • Utilizes technology (M/S word, outlook, excel) to perform tasks efficiently and accurately.
  • Plans, organizes and prioritizes tasks and schedule to meet critical deadlines in a fast-paced environment.
  • Responds and resolves MyWay cases in accordance with department timeframe standards.
  • Handles all escalated employee inquiries from Team Member Support Service's in a timely manner.
  • Provides superior customer service through all types of interactions by maintaining a positive, friendly, professional and patient attitude at all times.
  • Keeps customers informed with frequent call-backs and updates on pending issues until resolution is completed.
  • Participates in year-end processing as assigned.
  • Maintains confidentiality of all payroll data by locking PC when stepping away from desk, being cognizant of surroundings when discussing confidential data, password protecting all files sent through email, not releasing any confidential data without the employee's written consent, verifying manager access before providing any salary information, and keeping all employee information and files restricted to the Payroll staff and approved leaders.
  • Maintains notes to avoid asking repetitive questions.
  • Participates in system upgrades and implementations as assigned.
  • Presents ideas to automate manual processes.
  • Participates in group discussions and meetings for process improvements and expense reduction.
  • Perform ad-hoc projects and other department tasks as assigned.
  • Adheres to the standards identified in the Medical Center's Organizational Competencies.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
  • Strong working knowledge of payroll wage and hour laws.
  • Excellent math skills coupled with strong analytic and problem-solving skills.
  • Five or more years' minimum payroll experience in a large company (4000 + employees).
  • Strong working knowledge of MS applications, such as excel (pivot tables, vlookup and formulas, spreadsheets); word (mail merge, tables), outlook (email, calendars, tasks).
  • Exceptional interpersonal skills (patient, articulate, friendly and positive).
  • Demonstrates a high degree of self-motivation and the ability to work under pressure in a demanding work environment.
  • Takes initiative in professional development.
  • Demonstrates a team player, positive attitude and willingness to support the department's goals and vision.
  • Demonstrates a willingness to work the hours necessary to get the job done and meet deadlines.
  • Ability to multi-task in a fast-paced, deadline driven culture a must.
  • Effectively allocates time and resources to meet project/task deadlines.
  • Excellent written and verbal communication skills coupled with good listening skills.
  • All written communications are sent with zero spelling, grammar and punctuation errors.
  • Self-Learner; ability to learn and retain new systems and processes quickly.
  • Must be able to handle large call volume on daily basis and maintain composure when speaking with difficult or irate callers.

Education, Knowledge, Skills and Abilities Preferred:

  • Two of more years' minimum experience with PeopleSoft Payroll for NA version 8.0 or higher.
  • PeopleSoft Time and Labor.
  • Multi-state payroll working knowledge.

Licenses and Certifications Preferred:

  • Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) certification. Prefer to obtain within 1 year of hire.

Starting Minimum Rate

Starting at $82,513.60 Annually

Some jobs may also be eligible for performance-based incentives, bonuses, or commissions not reflected in the starting rate. Certain positions may also be eligible for shift differentials for work performed on evening, night, or weekend shifts.
