The Manager of Structural Heart & Cardiac Surgery is responsible to manage all outpatient practice operations for the Structural and Congenital Heart Center, and Cardiac Surgery Department at several sites. This position will manage administrative, clerical, scheduling coordinators and medical assistant staff, assuring the office runs efficiently, delegating responsibilities, and problem solving, to support the Structural and Congenital Heart Center and Cardiothoracic surgery teams in the Heart and Vascular Hospital.

The Practice has 6 providers and the manager will be overseeing 7 team members

 

 

Responsibilities

A day in the life of a Manager of Structural Heart & Cardiac Surgery at Hackensack Meridian Health includes:

  • Manages team responsible for patient's non-clinical experience including telephone communications, patient scheduling, patient reception, patient check-in and check-out, pre-certifications, referrals, and patient medical record keeping at several network sites. Deploy staff as needed to offsite practices.
  • Ensures schedule coordination for outpatient work up testing and scheduling and tracking follow up visits. Ensure patient consultations, follow-up documentation, and procedural reports are sent to referring physicians for all sites.
  • Oversight of professional and hospital prior authorizations for outpatient procedures and any cardiac testing indicated for all sites.
  • Ensure accurate processes for scheduling outpatient and inpatient procedures and surgeries for both Cardiac Surgery and Structural Heart sites.
  • Provides daily huddles and rounding with team to ensure that registration, scheduling and clinical needs are met. Addresses and resolves issues that relate to department performance at all sites.
  • Coordinates special projects as instructed.
  • Develops departmental policies and procedures manual in collaboration with Director
  • Develops practice guidelines to improve operations and enhance provider efficiency for all sites.
  • Manages inventory of supplies, purchase orders, check requests and capital requests for payment processing.
  • Manages team records, including department coverage, time reporting and individual performance. Ensure proper support for each practice site.
  • Ensures proper working order of departmental equipment.
  • Provides yearly in-services necessary for staff and assists with organization of schedules or special events.
  • Monitors and ensures accuracy of daily accounting procedures including cash collection posting and reconciliation for all sites.
  • Adheres to the standards identified in the Medical Center's Managerial Competencies and Code of Conduct.
  • Ensures adherence to legal requirements related to Risk Management, Patient Bill of Rights and other regulatory agencies.
  • Develops and implements related performance improvement activities.
  • Ensures outpatient open encounters and in-patient notes are completed on a weekly basis to ensure timely closing of encounters.
  • Ensures completion of Charge Review, Claim Edit, and Follow-up Workqueues to ensure timely submission of claims.
  • Reports and provides analysis regarding wRVU, collections, cancellation of appointments, no-shows, and volume. Develops processes to improve performance as needed for all sites.
  • Communicates with providers any revenue cycle or coding process and trends that need improvement.
  • Ensures completeness and accuracy of billing.
  • Identifies the needs of the patient population served and modifies, and delivers care specific to those needs (i.e.: age, culture, language, hearing and/or visually impaired, etc.).

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • Associates Degree, or equivalent relevant experience.
  • 7 years of experience in practice coordination in the hospital setting, or a combination of practice coordination and related healthcare experience.
  • 3 years of supervisory experience.
  • Proficient in computer skills including Microsoft Office Applications.

Education, Knowledge, Skills and Abilities Preferred:

  • Bachelor's degree preferred.
  • Experience with EPIC/Cadence.

Starting Minimum Rate

Starting at $82,513.60 Annually

Some jobs may also be eligible for performance-based incentives, bonuses, or commissions not reflected in the starting rate. Certain positions may also be eligible for shift differentials for work performed on evening, night, or weekend shifts.
