The Site Manager for the Care Center is responsible for the daily operations and business functions of the Center. The Site Manager supervises the administrative support team, is the site leader between departments and administration, and fosters collaboration across all business units within the site. This includes overseeing the day to day site operations and patient and team member satisfaction, purchasing, and facility management.

Responsibilities

A day in the life of a Site Manager for the Care Center at Hackensack Meridian Health includes:

  • Oversees and mentors the administrative support team (Guest Ambassadors, Surgical Coordinators, Medical Receptionists) by ensuring excellent patient care and visitor experience.
  • Manages patient flow, addresses patient inquiries and concerns, and proactively resolves facility issues
  • Facilitates communication and problem-solving between clinical and clerical teams.
  • Manages daily schedules, team coverage, and overtime. Conducts daily huddles and ensures completion of pre-visit planning.
  • Monitors and resolves issues related to charge and claim work queues, referrals, and patient work queues.
  • Provides training and coverage as needed.
  • Processes payroll, invoices, and vendor relationships (e.g., Ciox, Med-Flex, Linen).
  • Conducts regular site walk-throughs and addresses team member and provider concerns.
  • Facilitates bank deposits.
  • Monitors and addresses patient satisfaction scores and develops and implements planning to address gaps
  • Disseminates updates and important information to the team to ensure strong communication
  • Manages supply ordering and ensures adequate stock levels.
  • Conducts regular one-on-one meetings with team members. Participates in leader meetings, HR sessions, and professional development opportunities.
  • Site leader and liaison for all departments, responsible for and addresses site concerns, issues and improvements. 15. Ensures the cleanliness and safety of site and surrounding areas on a daily basis.
  • Responsible for working daily, weekly, monthly worksheet which includes but not limited to:
    • Recognizing and addressing team performance, providing praise or counsel as needed.
    • Ensure payroll is conducted weekly while monitoring Overtime and PTO.
    • Conduct walk-throughs of the areas in and around the site to assess from a patient perspective.
    • Facilitate bank deposits to the bank and confirm deposits in EPIC.
    • Code, approve, and submit invoices to AP for processing.
    • Prepare any information communication to update the team on new initiatives, MyChart sign-ups, pharmacy promotions, and address any recent questions or concerns
    • Monitor biowaste (Med-Flex), Linen for site.
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • Associate's degree or higher in Business Management or related field or equivalent years of experience.
  • 3-5 years experience in health care office administrative experience
  • Minimum 2 years supervisory or management experience
  • Exceptional organizational abilities and strong interpersonal communication skills
  • Consistent professionalism in appearance and attitude.
  • Proficient computer skills that may include but are not limited to Microsoft Office and/or Google Suite platforms.

Education, Knowledge, Skills and Abilities Preferred:

  • Minimum 1 year of experience with EPIC.

Starting Minimum Rate

Starting at $78,395.20 Annually

Budget and Grant Funding: Departmental budgets and any grant funding associated with the job position may impact the pay that can be offered.


Some jobs may also be eligible for performance-based incentives, bonuses, or commissions not reflected in the starting rate. Certain positions may also be eligible for shift differentials for work performed on evening, night, or weekend shifts.
