The Sup, Med Rec/Patient Intake is responsible for overseeing and organizing the daily function of the Medical Records and Intake departments at the John Theurer Cancer Center, including, but not limited to, scanning, quality assurance, indexing, audits, and performance improvement.

Responsibilities

A day in the life of a Supervisor, Medical Records / Patient Intake at Hackensack Meridian Health includes:

  • Supervises the daily operation of both the Medical Records and Intake Departments which includes:
    • Enter new patient demographics into the EMR.
    • Insurance coverage.
    • Scheduling of tests where applicable.
    • Medical records collection.
    • Scheduling consultations within 5 days to comply with established timeframe policy.
    • Follow-up for the physicians.
  • Assists in coordinating coverage for the Medical Records and Patient Intake clerical staff, including, but not limited to, cross-training staff to ensure proper coverage.
  • Assists with the coordination of training of clerical team members in Medical Records and Intake, including, but not limited to, all aspects of telephone contact, as well as proper and timely message retrieval, using the record and verify system for physician visits, usage of On Base system, and ICD-10 coding.
  • Works closely with physicians, nursing, technical staff, and department management to ensure proper process is followed for intake and the obtaining of records for all patients.
  • Supervises the preparation and completeness of charts (both paper and electronic).
  • Collaborates with leadership of the Clinical Partner teams to establish and continually review policies, make recommendations on the hiring of staff, follow established disciplinary action processes if applicable, and complete performance reviews.
  • Assists in preparation for state inspections and research audits of medical record documentation to ensure all records are current and complete. 
  • Assists to ensure that all staff are in compliance with all JTCC and HMH quality initiatives and in compliance with all regulatory and accrediting body requirements.
  • Keeps accurate log of charts and port films stored within a designated offsite facility. 
  • Coordinates all requests for the release of information from patients to their physicians, outside facilities, legal offices, and research centers following HIPAA guidelines.
  • Assists with communication to staff through group meetings and individual conferences every month.
  • Input requests for maintenance repairs for office equipment, phone installations and repairs, and computer technology in the clerical office.
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • Associate's degree in field or other relevant area of study OR High School diploma, general equivalency diploma (GED), GED equivalent programs, and/or other Vocational degrees/certificates plus 2 years of experience.
  • 5 or more years of leadership experience in a related field.
  • 3 or more years of experience supervising medical personnel.
  • 3 or more years of oncology experience.
  • Medical records experience.
  • Excellent written and verbal communication skills.
  • Proficient computer skills that include but are not limited to Microsoft Office and/or Google Suite platforms. 
  • Ability to work independently, or in a team, and handle multiple deadline-driven tasks in a dynamic environment is essential.

Starting Minimum Rate

Starting at $82,513.60 Annually

Some jobs may also be eligible for performance-based incentives, bonuses, or commissions not reflected in the starting rate. Certain positions may also be eligible for shift differentials for work performed on evening, night, or weekend shifts.
