The ETD Clerical Associate II oversees the clerical staff under the direction of the Administrative Director of Nursing or designee. Assumes responsibility and accountability to provide clerical support as a unit/department team member in order to achieve established outcomes.
1. Ensures that all policies and procedures are complied with by the clerical staff.
2. Investigates and attempts to resolve all registration and telecommunication issues and reports the resolution to the Administrative Head Nurse.
3. Oversee all clerical activities on assigned shift. Ensures that the clerical staff are completing their assignments in a timely manner. Reports any issues to the AHN.
4. Performs all essential functions listed in the ETD Clerical Associate's job description.
5. Oversees the orientation of the new clerical staff. Ensures their competency list is completed and signed off.
6. Ensures that the Clerical staff have checked and re-stocked all clerical supplies in their area, at the beginning of the shift.
7. Ensures that the Clerical staff is in compliance with the departmental dress code.
8. Ensures that all work from the previous shift is completed according to departmental policy..
9. Assigns Clerical staff to assemble forms, trauma packs and thrombo packs. 10. Maintains and replenishes clerical supplies and patient care supplies in all areas of the ETD. 11. Reconciles the previous day's charts and follows established procedures for daily batching to medical records.
12. Audits charts to assure accuracy of registration and billing.
13. Assists the Administrative Head Nurse with covering any staffing shortages.
14. Secures multiple reports on a daily and monthly basis and follows through on gathering needed documentation to review reports.
15. Provides a daily run from the ETD Tracking system for patient disposition.
16. Ensures that the Clerical Staff adheres to the quality standards as they pertain to patient satisfaction.
17. Has knowledge of the chain of command and reports unusual occurrences immediately.
18. Identifies the needs of the patient population served and modifies and delivers care that is specific to those needs (i.e., age, culture, language, hearing and/or visually impaired, etc.). This process includes communicating with the patient, parent, and/or primary caregiver(s) at their level (developmental/age, educational, literacy, etc.).
19. Adheres to the standard set forth in the Medical Center Organizational Competencies.
Education, Knowledge, Skills and Abilities Required:
1. High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
2. Computer literacy.
Education, Knowledge, Skills and Abilities Preferred:
1. 4-6 months of general office experience within the health care field.
