The Radiation Oncology Manager is responsible for the overall operations of the Radiation Oncology Department including budgeting, personnel, patient care procedures, planning, and other daily operations. The manager should be knowledgeable in all areas of Radiation Oncology including linear accelerator technology, HDR, brachytherapy, Gamma Knife and billing and finances of these therapies. The manager strives to accomplish goals, objectives and initiatives of the hospital through leadership, technical expertise and management of the department staff for patient accounts, financial accounting, materials management, information services, and clinical technology. Acts as a liaison between staff, physicians, hospital administration, accounts payable, physics, ISD, and outside regulatory agencies. Responsible for capital equipment and strategic planning. Oversees Cancer Registry, and Medical Physics.
A day in the life of a Radiation Oncology Manager at Hackensack Meridian Health includes:
1. Acts as chief radiation therapist and transmits instruction of physicians and physics to staff. Checks at regular intervals work of staff and students to evaluate quality and accuracy of work performed. Confers at each stage of work; monitors results and makes recommendations. Oversees the calculation checks and completion checks in the absence of a physicist or dosimetrist. Oversees weekly physics quality assurance checks on patient charts to ensure mathematical integrity and compliance with treatment plan. Maintains monthly rotation schedules: authorizes overtime and schedules extensions. Completes timely performance evaluation on staff. Ensures unit operations and employees are in compliance with policies and procedures defined by the hospital and all applicable regulatory agency standards.
2. Provides administrative duties: reports, statistics, payroll, etc. Presents proposals for new equipment, protocols, etc. Prepares department budget in collaboration with appropriate members of the team. Integrates the hospital's financial objectives into the department through the budget process, revenue cycle management, internal controls, policies and procedures. Reviews and evaluates cost systems, data collection, and medical records coding and documentation procedures to assure appropriate reimbursement and collections for patient services and proper recording of relevant patient treatment/payment information. Continually analyzes financial, statistical and referral data in order to identify unusual operating or referral trends and areas of potential cost savings or referral management. Responsible for the recruitment, interview, selection and retention of qualified personnel. Establishes quality assurance and quality control programs. Participates in hospital radiation safety committee.
3. Performs clinical treatments as necessary. Verifies all parameters are met and accurate as per treatment plan prior to treatment delivery. Delivers calculated dose to treatment volume in accordance to prescription. Observes patient for reactions, signs and symptoms of physical or psychological stress on a daily basis in accordance with departmental procedures. Verbally communicates with patient regarding their daily well-being and counsels patient as necessary on a routine basis. Ensures patient compliance with lab tests.
4. Maintains working knowledge of applicable laws and regulations as they relate to assigned responsiblities. Prepares for site visits/audits of all regulatory agencies. Works with diagnostic physics group for employee radiation dosimeters, audit of groups billing, and to accomplish radiation safety regulatory requirements through participation in Radiation Safety Committee.
5. Meets regularly with the Medical Director and consults with physicians and physicist on a continuing basis to ensure that all departmental clinical functions run smoothly, to ensure that the department is equipped with all the necessary assets to provide optimal patient care in a supportive environment.
6. Responsible for the operation of the Radiation Oncology Information System. Troubleshoots, implements upgrades, liaison with vendor. Negotiates service contracts for equipment.
7. Oversees Cancer Registry to accomplish the goals/accreditation of the cancer program. Works directly with other departments and physicians to accomplish these goals through participation in Cancer Committee.
8. Other duties and/or projects as assigned.
9. Adheres to HMH Organizational competencies and standards of behavior.
Education, Knowledge, Skills and Abilities Required:
1. Graduate of a JRCERT approved Radiation Therapy education program required. Masters Degree in Health Care Administration (MHA) required. Educational curriculum that includes the safe use of ionizing radiation required.
2. Minimum 5 years experience as a Radiation Therapist. Excellent interpersonal skills to create and maintain a teamwork environment.
3. Minimum 3 years experience leading a Radiation Therapy department.
4. Computer literate including Microsoft Office and PDF software. Technical expertise in all aspects of radiation therapy technology including but not limited to Varian and Elekta linear accelerators, On board imaging, Gamma Knife, GE CT simulator, GE tadvantage workstation, LAP lasers, Varian ARIA EMR.
Licenses and Certifications Required:
1. Radiation Therapy License.
2. American Registry of Radiologic Technologists Certification.
