The Administrative Assistant EMS manages and coordinates all school office operations. Establish and maintain professional quality contacts with both internal and external customers. Manage and coordinate key office procedures such as meetings, correspondence, keeping accurate and up-to-date enrollment information, assists in maintaining the school's data bases, monthly tuition billing, and maintaining pupil and staff records in an orderly and confidential manner. Assist the Director/Principal and school administrators by coordinating all secretarial and clerical tasks required to support the various facets of the East Mountain School. Incorporates the organization's Mission, Values, and Service Standard Behavior guidelines in the fulfillment of all duties and responsibilities.

Responsibilities

A day in the life of an Administrative Assistant, EMS at Hackensack Meridian Health includes:

  • Manage and coordinate all school office procedures and operations.
  • Maintain the official school register and attendance forms, as well as provide the Finance Department with accurate data for billing purposes.
  • Maintain the school's enrollment database, keeping up-to-date records on new enrollments, withdrawals, terminations and district of residence. 
  • Organize and coordinate the purchase requisition process, and track the receipt of all items ordered including the ordering, storage and distribution of office supplies.
  • Set up, maintain and prepare Student Records in the Administrative Software Management Program.
  • Maintains confidential files of all information pertinent to the Director/Principal, and School administrators.
  • Organize and schedule meetings in coordination with administrative and supervisory staff as needed. Maintain an easily accessible list of scheduled meetings. 
  • Establish and maintain professional quality contacts with both internal and external customers. Coordinates tasks for the East Mountain School Department, including greeting East Mountain School visitors, directing them to appropriate staff, scheduling meetings, answering and directing telephone calls to appropriate staff, providing available information within the guidelines of strict confidentiality and/or triaging to appropriate staff.
  • Assist with the maintenance and processing of staff credentials (e.g. NJDOE criminal background processing and emergent hiring procedures). 
  • Perform accurately and efficiently a variety of other general office and secretarial functions for School staff including scheduling of meetings, word processing of various daily, weekly, monthly and bi-monthly reports; copying; faxing; typing; collating; recording and filing.
  • Assist staff on an as-needed basis with computer and other technology-related questions (e.g., how to do certain functions, how to access information, how to generate reports, etc.)
  • Assist the staff as directed by the Director/Principal with planning special projects such as Parent/Teacher conferences, graduation, etc.
  • Provide direct secretarial support to the Director/Principal.
  • Complete assigned work in a timely fashion. 
  • Assist Director/Principal with the maintenance of confidential files/information pertinent to the Director/Principal's office.
  • Assist the Director/Principal with internal personnel functions as needed
  • Provide services in a manner consistent with Carrier Clinic and East Mountain School policies regarding ethics and confidentiality. 
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • Bachelor's Degree and three (3) years experience working in a school or central office setting or Associate's Degree / a High School diploma, general equivalency diploma (GED), and/or GED equivalent programs with five (5) years minimal experience working in a school/central office setting. 
  • NJDOE Criminal History Review
  • Excellent written and verbal communication skills. 
  • Proficient computer skills that may include but are not limited to Microsoft Office and/or Google Suite platforms.

Starting Minimum Rate

Starting at $22.77 Hourly

This job position is a 10-month benefit eligible position. The starting rate of pay is provided for informational purposes only and is not a guarantee of a specific offer.
