This position is responsible for a wide variety of activities including but not limited to: Initiating patient intakes; scheduling coordinated appointments for Aftercare/SRP patients; performing insurance screening and verification /authorization processes; patient registration; handling a high volume of customer calls/inquiries; participating in marketing efforts for the programs; and participating in Stroke Recovery Team Meetings. In addition assists the department in entering patient charges; responding to medical records requests and billing inquiries; preparing reports; maintenance of department records.

Responsibilities

A day in the life of an Aftercare/Stroke Recovery Scheduling Coordinator at Hackensack Meridian Health includes:

  • Works with multiple departments (PM&R, OP PT/OT, ST, Psychology, nutrition services) to coordinate and schedule multiple coordinated series appointments, meeting the needs of the patient and their family
  • Communicates all pertinent information to patient/customer at initial and subsequent contacts. Communicates effectively with all departments/clinicians who are members of the Aftercare/SRP team. Fields department call volume - asking appropriate questions to screen calls; relaying accurate information to caller; taking appropriate action. Monitors voicemail - initiating appropriate follow up. Relays messages to staff per department guidelines.
  • Screens and verifies insurance on all new referrals - screening appropriately for department specific needs. Documents all interactions with insurance representatives, patient/customer, interested parties. Pursues, researches and relays any discrepancies/concerns to insurance company representatives, patients, supervisor and Aftercare/SRP physician and team members as appropriate. Follows department procedures for initiating required authorizations for services, and verifying receipt of those authorizations.
  • Obtains and documents all pertinent information for scheduling intake - to facilitate effective insurance verification, scheduling and registration processes. Compiles statistical information as needed.
  • Pre-registers patients per department guidelines. Obtains and scans patient ID, insurance cards, prescriptions, insurance referrals, along with any other required registration forms. Updates, revises and enters all information in registration system. Obtains patient signatures on all registration paperwork. Informs patient of co-payment/payment responsibilities; and collects payment as indicated. Scan all registration documents per department guidelines monitors and corrects RQI edits promptly.
  • Assists with preparing for and coordinating departmental specific marketing strategies for SRP - Attends open houses; in-house lectures; health fairs, etc. Participates in P.I. initiatives designated by department management team. Serves as a member of the SRP Committee.
  • Responds to records/information requests utilizing all resources - HPF, ClinStar, PHS, referral logs. Prepares and distributes patient reports per program guidelines. Prepares discharge charts for scanning. Compiles purchase order requests/receipts. Documents department payroll as indicated. Responds to and rectify billing requests promptly.
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs. 
  • Minimum of 3 years office experience
  • Demonstrated problem solving skills and ability to work independently.
  • Computer skills - word processing, database; strong interpersonal telephone skills.

Education, Knowledge, Skills and Abilities Preferred:

  • Secretarial or medical office certificate.
  • Minimum of 2 years in a health care setting.

Starting Minimum Rate

Starting at $22.77 Hourly
