The Radiology Intake Representative is responsible for the flow of Radiology patient data from appointment scheduling, authorization, and registration. This includes but is not limited to the review of physician orders, diagnosis and reimbursement requirements through patient and physician contracts. This position also functions as the primary conduit of communication with both providers and patients.

Responsibilities

A day in the life of an Radiology Intake Representative at Hackensack Meridian Health includes:

  • Accurate collection of patient information and medical history for scheduling.
  • Effectively and efficiently performs the scheduling process for all imaging studies. Schedule Radiologist's consultations, Pre-registering and registering all scheduled studies for the various departments and HOPD facilities. 
  • Screens radiology orders and reviews patient histories to expedite scheduled procedures.
  • Gathers and prepares patient information related to procedures including prescription, lab work, medication, allergies, consents and patient histories in preparation for scheduled procedures and/or Radiologist review.
  • As needed: a. Reviews patient insurance requirements and documentation to ensure reimbursement. b. Performs insurance verification on all Outpatient services, and collects patient's out of pocket responsibility. c. Prepares and obtains authorization for all procedures including advanced procedures and studies and any other needed authorizations.
  • Where applicable, set up peer to peer and/or handle appeals when authorizations are denied. Completes any patient requests for medical information and verifications.
  • Respond to phone inquiries in an appropriate and timely manner.
  • Communicates with physician offices, nursing units, radiologists, technical staff, and ordering physicians to facilitate scheduling and/or completion of exams. 10. Arrange transportation for patients as needed to and from their procedure/study.
  • Where applicable, set up all hydrations for all patients that require hydration for their study and perform post procedure follow up calls and/or set up follow up appointments with patients when needed. 
  • Upload/import outside studies into PACS for Radiologist comparisons. 
  • Make daily reminder calls to scheduled patients and give them any additional instructions as needed. 
  • Checks workspace inventory and replenishes supplies as needed. Notify supervisor if inventory supplies need replenishment. 
  • Participate in orientation and training of new employees.
  • Process requests for medical records, films, and CD/DVDs from Outpatient, Emergency Department, and Inpatient sources.
  • Verify the accuracy of information on all reports, films, and CD/DVDs before release.
  • Maintain accurate logs of all release requests and complete release forms with all necessary details. 
  • Confirm that medical information is released only to authorized individuals. 
  • Ensure timely delivery of final reports, films, and CD/DVDs to designated physicians and/or patients.
  • Monitor report audits and expedite the completion and faxing of final reports. 
  • Take necessary actions to complete reports on the pending log.
  • Fax reports to referring physicians' offices as requested.
  • Keep offices informed of any ongoing problems or delays. 
  • Other duties and/or projects as assigned. 
  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
  • Excellent written and verbal communication skills. 
  • Proficient computer skills that include but are not limited to Microsoft Office and/or Google Suite platforms.

Education, Knowledge, Skills and Abilities Preferred:

  • Related experience in a hospital setting.

Starting Minimum Rate

Starting at $23.97 Hourly

Some jobs may also be eligible for performance-based incentives, bonuses, or commissions not reflected in the starting rate. Certain positions may also be eligible for shift differentials for work performed on evening, night, or weekend shifts.
