The Assistant Residency Coordinator supports the coordination of all aspects of the residency program. Maintains resident files and provides administrative support to the Residency Program Director and senior staff.

Responsibilities

A day in the life of an Assistant Residency Coordinator at Hackensack Meridian Health includes:

  • Assists with the coordination of the residency program ensuring compliance with established guidelines.
  • Maintains the residents' database and paper files to ensure accuracy.
  • Provides administrative support for training programs.
  • Collaborates in the scheduling of graduation activities, conferences, social events, etc.
  • Assists with the preparation of reports for the Accreditation Council for Graduate Medical Education (ACGME), GME Track and applicable specialty boards
  • May prepare reimbursement documents, travel arrangements and order supplies as needed. Handles all correspondence from external facilities regarding verification of residency for current and former residents.
  • May participate in the completion of surveys.
  • Submits timely and complete duty hour reports to the Compliance Office following the institution's compliance plan.
  • Collects and tracks evaluations of the residents, faculty, and program in compliance with applicable accreditation requirements.
  • Ensures compliance with departmental policies and procedures regarding any house staff moonlighting or other professional activities outside the scope of the program.
  • Maintains and monitors records of resident attendance for all required educational activities, including conferences and other didactic experiences. 
  • Ensures current and complete data for resident procedural experience, including those recorded in ACGME Case Logs and the New Innovations Procedure Logger module.
  • Maintains the residency curriculum, including competency-based goals and objectives for each assignment and each level of training.
  • Collects a summative, competency-based evaluation and a list of all rotations completed from the previous program of any resident who transfers into the program, including those who complete one year of preliminary training before entering an advanced residency program. Provides these materials to the new program for any resident who transfers out of Mount Sinai.
  • Develops and maintains program letters of agreement for all required rotations at outside institutions.
  • Communicates conditions of house staff appointment to candidates at or before the time of interview.
  • Prepares for Internal Reviews of the program as directed by the GME Office.
  • Performs other duties as assigned.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • Bachelor's degree and/or minimum of three to five year's experience working in healthcare, education, corporate office or related environment.
  • GME experience required. Excellent written and verbal communication skills.
  • Ability to organize information. Professionalism in dealing with confidential issues and information. Spirit of cooperation and teamwork.
  • Ability to handle sensitive information with absolute confidentiality.
  • Working knowledge of software applications including Microsoft Office Suite, and/or Google platform.
  • Ability to make decisions independently or to escalate issues as needed. Problem solving and decision-making.

Education, Knowledge, Skills and Abilities Preferred:

  • Minimum of three to five years' experience working in healthcare, education, corporate office or related environment.
  • Experience working in Medical Education.
  • Should have knowledge of our online program for tracking resident performance, New Innovations.

Starting Minimum Rate

Minimum rate of $25.38 Hourly
