The Facilities Coordinator is Responsible for coordinating real-time for emergencies, complaints, or services that need to be provided. Provides administrative and clerical support to the department.

Responsibilities

A day in the life of a Facilities Coordinator at Hackensack Meridian Health includes:

  • Coordinates and monitors workflow of mechanics. through dispatch: Coordinates work orders through dispatch, SMS, and email work orders from incoming calls to the Plant Ops hotline. Makes decisions quickly. Has good understanding of technical aspects of the Plant and Hospital. 
  • Coordinates/attends meetings.: Attends all Plant Operations Staff meetings to take minutes and attendance. Coordinates these meetings (location, equipment, distributes agenda, and minutes packets). Meetings are planned and carried out with little or no supervision. Ensures that training for all team members is scheduled whether in-house or off campus. Responsible for the management of expenses and any necessary equipment that may be required.
  • Coordinates/oversees completion of annual requirements.: Coordinates and oversees completion of annual requirements for Plant Operations Staff (Annual Basic Training, PPD tests, etc.). Data is collected in a timely and accurate manner and forwarded to appropriate persons within HR and Employee
  • Documentation: Responsible for securing, maintaining, and updating all licenses and certifications. Documents are updated as needed. Types memos, documents, and/or reports. Collects data and forwards to appropriate sources. Documents are formatted appropriately with minimum errors and within the appropriate time frame.
  • Policy & Procedure Manual: Assist in the review and revisions of the Departmental Policy and Procedure Manual on an annual basis. Direct management inspection of the Departmental Policy and Procedure Manual.
  • Project Management: Evaluates workload and prioritizes projects with Management. Communicates with Department/Nurse Managers on tentative time frames. Meets project completion targets.
  • Provides management support: Provides back-up support as needed when management is not available. Coordinates vendors and supplies in the absence of management in order to ensure goods and services scheduled will be processed in a timely manner. 
  • Schedules: Schedules appointments, maintains calendars, and arranges meetings. Appointments are kept accurately.
  • Supply coordination.: Supply coordinator which entails the monitoring and tracking of all department purchases. Ensures purchases are approved. Researches prices. Searches for replacement items through the internet. Maintains monthly vendor expense reports.
  • Telephone Management: Answers telephone, screens calls, provides phone support, and relays messages to the appropriate parties. Calls are always answered courteously and timely. Always uses good judgment in screening calls. Directs calls to the appropriate source. 
  • Travel Management: Makes complete travel arrangements and prepares expense reports. Travel arrangements and expense reports are handled in a timely and accurate manner.
  • Vendor contact/coordination: Responsible for contacting appropriate vendors for prompt service of malfunctioning equipment and monitors that service is prompt. Also tracks annual service agreements and monthly/quarterly billing. Coordinates vendors in response to a given need.
  • Other duties and/or projects as assigned. 
  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • Excellent written and verbal communication skills.
  • Proficient computer skills that may include but are not limited to Microsoft Office and/or Google Suite platforms.

Starting Minimum Rate

Starting at $22.77 Hourly

Some jobs may also be eligible for performance-based incentives, bonuses, or commissions not reflected in the starting rate. Certain positions may also be eligible for shift differentials for work performed on evening, night, or weekend shifts.
