The Department Student Coordinator is responsible for coordinating and supporting all undergraduate medical education (UME) student activities within the department. This role serves as the primary administrative liaison between medical students, faculty, Academic Affairs, institutional education offices, and affiliated medical schools to ensure a well-organized, compliant, and high-quality educational experience. The coordinator manages student onboarding, scheduling, evaluations, compliance tracking, and day-to-day operational support while ensuring alignment with institutional policies, accreditation standards, and affiliation agreements.

Responsibilities

A day in the life of a Trainee Support Coordinator at Hackensack Meridian Health includes:

  • Student Coordination & Operations:
    • Coordinate departmental medical student rotations, and electives. 
    • Serve as the primary point of contact for visiting and assigned medical students.
    • Maintain rotation schedules and ensure appropriate learner coverage across clinical services.
    • Facilitate student orientation, onboarding, and departmental introductions.
    • Communicate rotation expectations, schedules, and requirements to students and faculty.
  • Onboarding & Compliance:
    • Coordinate onboarding requirements including credentialing, EMR access, badges, and required documentation.
    • Track completion of institutional and departmental onboarding checklists.
    • Ensure compliance with institutional policies, affiliation agreements, and regulatory requirements.
    • Collaborate with HR, Academic Affairs, and Medical Education offices regarding student clearance.
  • Evaluation & Academic Support: 
    • Coordinate distribution and completion of student evaluations.
    • Monitor evaluation deadlines and follow up with faculty as needed.
    • Maintain accurate records of student participation and performance documentation.
    • Support clerkship directors or faculty leadership with educational reporting needs.
  • Liaison & Communication:
    • Serve as liaison between department leadership, program coordinators, medical schools, and institutional education offices.
    • Respond to student inquiries and provide guidance regarding departmental processes.
    • Communicate schedule changes, expectations, and program updates.
  • Administrative & Program Support:
    • Maintain student rotation databases and tracking systems.
    • Prepare reports related to student volume, rotation activity, and program metrics.
    • Assist with educational events, conferences, and student engagement initiatives.
    • Support continuous improvement initiatives related to learner experience.
  • Additional Responsibilities:
    • Other departmental duties as assigned

Qualifications

Education, Knowledge, Skills and Abilities Required:

  • Bachelors degree and/or a minimum of 4 years of experience in healthcare academics, education, or a related field.
  • Strong organizational and time-management skills.
  • Ability to manage multiple schedules and competing priorities.
  • Excellent written and verbal communication skills.
  • High attention to detail and compliance awareness.
  • Ability to maintain confidentiality and professionalism.
  • Proficiency with Google, VSLO, New Innovations and scheduling/database systems.

Education, Knowledge, Skills and Abilities Preferred:

  • 2-4 years of administrative or program coordination experience required.
  • Experience in academic medicine, healthcare education, or hospital operations preferred.
  • Familiarity with medical education environments (UME/GME) strongly preferred.

Licenses and Certifications Preferred:

  • Certified Training Administrator of Graduate Medical Education (C-TAGME)

Starting Minimum Rate

Minimum rate of $60,174.40 Annually

Some jobs may also be eligible for performance-based incentives, bonuses, or commissions not reflected in the starting rate. Certain positions may also be eligible for shift differentials for work performed on evening, night, or weekend shifts.
